8ECM Accompanying persons fee:

All activities for accompanying persons are canceled. Participation fees for accompanying persons will be fully refunded (100%). 

 

Online Registration Form:

Registration must be completed by submitting the Online Registration Form, one form per person. You will receive a reservation confirmation after completing the form; if you do not receive it, please contact our 8ECM Registration Office at 8ecm.registration@famnit.upr.si

Please be sure to save the reservation confirmation link sent to your email address, since you will need it for accessing your personal Registration Profile Page! You will be able to access, update or change all your information, make payments for the registration, upload files, apply for minisymposia and 8ECM accompanying events.

When filling out the Registration form, please enter your First Name, Last Name, Affiliation, and Country, as you want it to appear on your visitor badge.

If student registration is selected, please provide proof of present enrolment in an academic institution, otherwise, you will be requested to pay the full registration fee.

A confirmation voucher and pro forma invoice will be sent right after the payment is received. Please review it carefully and take note of the link that will be sent to your email to confirm the registration. You will be able to access your Registration Profile Page on the 8ECM website if you need to make any changes to your registration.

 

Please be advised that your registration is completed only after the registration fee is paid in full! This also applies should you need a Guaranty letter (for visa purposes). Organizers of 8ECM will not issue any Guarantee letters for participants who have not completed their registration (e.g. paid the registration fee in full).

 

Payment:

All payments must be made in € Euros (EUR). The following methods of payment are available:

• Credit card Online: you will be redirected to Bank secure page. VISA and MasterCard are accepted. When paying with a Credit card your statement will show that the amount for the registration fee is paid to ABELIUM D.O.O. SI LJUBLJANA
• Bank Transfer: Information will be sent to you automatically after completing the registration form and choosing the appropriate payment option (Bank Transfer). 
• Bank fees must be paid by the participant (or payer institution). This option for payment will only be available until June 7, 2021.
• No personal checks will be accepted for any payments.

 

The registration fee must be paid in the full amount applicable to your status and as it is shown* on the Pro Forma Invoice you receive (if you choose to pay via Bank Transfer) or in the Wirecard payment form (if you choose to pay via Credit card). Only Pro Forma invoices will be issued until we receive your payment, upon which you will receive an Advance Invoice for bank transfer and credit card payments as confirmation of payment. After the conclusion of the Congress you will also receive a final Invoice, confirming the completion of our service to you. This process is fixed in accordance with Slovenian Tax legislation, and may not be altered.

Cancellation Policy

Due to the worldwide epidemic of COVID – 19, and subsequently moving all lectures on-line, a new refund policy is in effect from February 23, 2021, stating additional clauses for cancellations and refunds.

Delegates may receive a partial refund for cancellation, in the amount of 120 €*, according to the defined rules**. Participation fees for accompanying persons will be fully refunded (100%) ***.

Eligible participants can write to 8ecm.registration@famnit.upr.si with a request for a partial refund and proof of their status no later than March 31, 2021.

By requesting a refund under these Terms & Conditions, you are forgoing participation at the 8ECM.

New Terms & Conditions were determined in agreement with the European Mathematical Society.

Delegates may receive a refund for cancellation, the amount depends on the cancellation date:

1. Cancellation requests made from May 6, 2020, to June 1, 2020 – 100 % of registration fee is refunded, due to the worldwide epidemic of COVID - 19.
2. Cancellation requests made from June 2, 2020, to January 1, 2021 – 30 % of registration fee is refunded. *

Request for refund to change the type of participation:

• From Regular Registration to Passive E-participation for main talks made by January 1, 2020 – the difference in the registration fee is refunded.
• From Regular Registration to Passive Full E-participation made by January 1, 2021 – the difference in the registration fees is refunded.
• From Regular Registration to Active Full E-participation no registration fee is refunded.

No refunds will be granted after January 1, 2021.

* A corresponding amount minus an additional 40 EUR administrative charge will be issued to the same account the payment has been issued from (any bank charges will also be deducted from the refund).

 

If you have to cancel your participation and would like to be refunded, please send by e-mail a written request to 8ecm2020@famnit.upr.si before June 1, 2020, 23:59 (GMT+1).

Refunds will be paid in Euros. Your email should include all the data regarding the payment with the receipt attached.

8ECM will not be responsible for any losses, including (but not limited to) airline cancellation charges or hotel deposits.

By registering for the 8ECM you agree with the cancellation policy.

Refunds will be paid in Euros. Email should include all the data regarding the payment with the receipt attached. A corresponding amount minus an additional 30 EUR administrative charge will be issued to the same account the payment has been issued from (any bank charges will also be deducted from the refund).

IMPORTANT UPDATE! (Updated on 23 February 2021) Due to the coronavirus pandemic (COVID - 19), the 8ECM organizers and the European Mathematical Society – EMS, announced that the 8ECM is moved online. All participants who have already completed their registration and paid the Regular Registration Fee will have their registrations transferred to Active Full E-participation, covering all lectures as well as a contribution in all scientific sessions.   There are no full refunds for withdrawing participation from the 8ECM.  Eligible participants that have already paid the registration and would like to withdraw their participation from the 8ECM, can request a partial refund in the amount of 120 €, according to the defined rules*. Eligible participants can write to 8ecm.registration@famnit.upr.si with a request for a partial refund and proof of their status no later than 31 March 2021. Please note: Participants, requesting a partial fee refund are automatically forgoing participation at the 8ECM. Participation fees for accompanying persons will be fully refunded (100%). UPDATE from 7 May 2020 (Updated on May 7, 2020)   Due to the coronavirus pandemic (COVID - 19), the 8ECM organizers and the European Mathematical Society – EMS announced a new date for the 8ECM, which is June 20 – 26, 2021 in Portorož, Slovenia.  All participants who have already completed their registration and paid the Registration fee will be automatically able to participate next year. For those who wish to withdraw from participating at 8ECM due to any inconveniences caused by the current situation and/or this measure, a full refund will be granted until June 1st, 2020. However, we kindly ask that you consider alternative options, such as E-participation. For more information on refunds please see the new refund policy on the page Terms and Conditions. We would also like to remind all who are not yet registered that individual EMS members have a reduced fee of 280 € for full participation. One of the innovations at the 8ECM next year is an online streaming format, with the possibility for full and active E-participation, besides the regular format of the conference. Reduced registration fees for different options of E-participation are available, where you will have the benefit of participating from home or even from the comfort of your hotel room, thus avoiding the crowds at the Congress centre but still taking advantage of the early summer in Portorož.
